Cancellation of, or recall from leave

You may get a refund for some or all of your costs if you have had leave approved and:

  • you're recalled from leave, or
  • it's cancelled for Service reasons.

Who can get a refund for cancellation of, or recall from leave?

You may get a refund for cancellation of, or recall from leave if you are a member of the:

  • Permanent Forces, or
  • Reserves on continuous full-time service.

What happens if my leave is cancelled before it starts?

If your leave is cancelled for Service reasons before it starts, you may get some costs refunded. This includes:

  • accommodation deposits or tariffs
  • fare deposits or fares, and/or
  • other costs to do with recall from leave.

You may get a refund if:

  • your leave has been formally approved, and
  • you can't recover the costs from a travel agent, insurance or similar.

What happens if I am away from my posting location?

If you're away on holiday and your leave is cancelled, you will need to decide what to do.

You may be able to go to work for a short period and then resume your holiday. Your family may stay in the holiday location while you work.

You may be needed for a longer time and have to cancel the holiday altogether.

Which costs can I get a refund for?

You may get some costs refunded. You can only get the portion of a holiday refunded that you:

  • couldn't use, or
  • couldn't recover from the travel agent, other provider or insurance.

You may get a refund for:

  • your travel costs for the recall journey
  • accommodation costs for the recall journey
  • travel costs for dependants, if they have to return with you
  • accommodation costs you couldn't use
  • meal costs during the journey, and/or
  • other holiday costs you couldn't use.

If you can get a refund from the travel provider, you'll be expected to do that. This includes an airline willing to change the date of the return flights without charge. You may get a refund for any extra charges.

If you're on leave at your posting location, you can't get a refund.

Any leave you don't use may be re-credited.

What should the decision-maker consider?

When you decide if the member should get a refund, you should consider:

  • time availability for the return journey
  • how many people had to return
  • how much the member spent on holiday items they couldn't use
  • if the member can recover the costs from a travel agent, insurance or similar, and/or
  • whether it was practical for the member to restart their holiday.

More information about cancellation of, or recall from, leave can be found in Chapter 5 Part 13.
