One-stop
self-service
By
Squadron Leader Deanna Nott
AIR
Force personnel will now have greater access to, and control
of, personal data through the one-stop, self-service shop
of PMKeyS Self Service (PSS).
Recent PSS additions mean members can now update and/or check:
-
home address;
-
emergency
contact details (next of kin);
-
pay
advice;
-
leave
balance and leave history;
-
individual
readiness status;
-
nominated
family for leave travel;
-
dependant/beneficiary
details;
-
employment
preferences and restrictions (and submit them);
-
operational
service, promotion, postings and course history; and
-
qualifications,
honours and awards, and professional memberships.
PSS
allows members to do all this online, in one go, in one place,
in real time and in a secure environment.
In many cases, personnel can update their own information without
any forms or waiting on the phone and the changes are
instantaneous. Where a form is needed, PSS provides a link to
the correct form, online.
Air Force and Defence are also moving towards enabling the application,
approval and processing of military leave through PSS.
The
PSS leave process offers the following advantages:
-
It removes the risk of losing leave forms;
-
removes
the need to store, audit and archive paper documents;
-
provides
instantaneous entry into PMKeyS; and
-
allows
the supervisor to view leave entitlement before approval.
The
PSS leave process is currently being piloted among a controlled
group of members applying for specified types of leave and the
workflow of manager approvals.
The trial is expected to be rolled out to Air Force units during
2006 and will be based on personal preference and local command
and administrative arrangements and requirements.
We are always looking at ways to improve the way information
is processed, approved and stored on PMKeyS.
We are constantly enhancing PSS, in consultation with Air Force
and the other Services, and the changes will continue in an
evolutionary way.
We want to deliver an accurate, flexible and accessible personnel
and payroll management system to Air Force members, the
Director General Personnel Systems, Peter Lush, said.
A constantly improving PMKeyS will not only benefit members,
but also the personnel and financial management of Air Force
and Defence.
Our improvements will also help Air Force and Defence
address a number of Australian National Audit Office issues.
By integrating military and civilian personnel and payroll
management, and reducing the number of points of manual entry,
Air Force and Defence will be able to get an accurate whole
picture of their workforce in real time.
This will really enhance the quality and currency of our workforce
and financial information.
That said, PMKeyS is only as good as the information in
it. We can do everything in our power to make the system easier
to use and more integrated. But its a case of garbage
in, garbage out.
While PMKeyS is continually being enhanced, a major upgrade
is planned for the future. The upgrade will integrate the current
human resource capabilities and military payroll systems into
one single system.
Both PMKeyS and PSS are secure and protected by privacy regulations,
so members can be assured their information is safe.
