THE Director General Personnel – Army would like to encourage soldiers to assume ownership of personal data held on PMKeyS.
This data is used to make important decisions about career management, training and administration, and must be as accurate as possible at all times.

Keep data correct

Soldiers now have two options to keep their personal data correct. Where DRN access is limited, orderly rooms and MPACs can still be provided with updates using the AD150 form ADF Personal Data – PMKeyS. Support staff will then load the data on your behalf.
For those who have ready access to the DRN, PMKeyS Self Service opens up a dynamic and secure online option with multiple tools that soldiers should find useful and helpful. Tools are being added progressively in consultation with the Army Personnel Information Management Section.

PSS tools available

PSS currently includes access to the following data and information:

  • pay advice;
  • leave balance and leave history;
  • individual readiness status;
  • dependent/beneficiary details;
  • nominated family for leave travel;
  • employment preferences and restrictions, and the ability to submit them;
  • operational service, promotion, posting and course histories; and
  • qualifications, honours and awards and professional memberships.

You can update home address and emergency contact details. All data is loaded directly into the PMKeyS database, making it effective immediately.

In the future

In the future you will be able to do the following online:

  • apply for annual, war, short, short-removal, travelling and trainee leave.
    A pilot activity involving a controlled group of military personnel started testing PSS ADF Leave on October 1. Feedback from Army participants will be used to confirm and develop the design, which will be rolled out incrementally to the Army’s units throughout 2006. In some situations, units may not be able to use this new functionality given DRN limitations. However, access should improve steadily over time. Some adjustment to internal unit administrative procedures might also be required;
  • nominate for internal training; and
  • have greater access to PMKeys during operations and deployment.

Data to check regularly

  • “Reports To” data – if incorrect, advise your orderly room or MPAC or the Defence Service Centre.
  • Your leave balance – if you think this might be incorrect, ask your orderly room or MPAC to conduct a check of your record.
  • Emergency contact data – this is used to arrange emergency contact should it become necessary and needs to reflect your wishes accurately at all times.

Improvements

“Nearly half of the Army has accessed PSS over the past six months and the numbers are improving daily as more soldiers realise the benefits of the system and the control it gives them over their personnel and payroll management,” Director General, Personnel Systems, Peter Lush said.

“PSS is secure and protected by privacy regulations, so soldiers can be assured their information is safe.

“We are always looking at ways to improve the way information is processed, approved and stored.

“We want to deliver an accurate, flexible and accessible personnel and payroll management system to soldiers at bases and during operations and deployment.”
