Ceremonies, do it right to project the best image.

Well worth standing on ceremony

As we enter the new year with gusto many units have already commenced planning for ceremonial activities.

Ceremonial activities reflect the esprit de corps and standard of training of a unit.

The success of a ceremonial activity and the image of the organisation conducting the activity depend directly on the standard of planning and administration conducted prior to the activity.

Observation of correct protocols, timely issue of invitations and provision of necessary detailed information to guests is as important as the activity itself.

If units are intending to invite the Governor-General, Minister for Defence or other Federal ministers they must first seek approval through their respective superior headquarters and functional commands.

After approval, appropriate information about the activity is to be forwarded to the Ceremonial Cell at AHQ.

Once received, a formal invitation will be prepared and sent through the Ministerial and Parliamentary Liaison Officer located within the Chief of Army (CA) office.

The following lead times are required by the CA to extend an invitation:

  • Governor-General, seven months
  • Prime Minister, three months
  • Minister for Defence and Minister Assisting the Minister for Defence, three months
  • Other Federal Ministers including senators who are ministers, three months
  • CDF, three months

Complimentary invitations are required to be submitted or extended when, the Governor-General, Prime Minister or Minister for Defence are invited to a ceremonial activity.

Complimentary invitations are then extend to the Minister Assisting the Minister for Defence and CDF.

Once the invitation has been accepted the unit is responsible to prepare and send a detailed parade brief of the activity to the ceremonial cell at AHQ.

A draft speech would also be required if the VIP has accepted to address those assembled at the event.

Guidance on the format for a parade brief required to be sent to a Minister can be found at: http://intranet.defence.gov.au/di/dmpls

  • If any assistance is required units are encouraged to contact the Ceremonial Cell at AHQ, WO1 Peter Zajac on (02) 6265 4091 or e-mail Peter.Zajac@cbr.defence.gov.au
