Budget Year (Year Zero) – Project Finalisation

Project Finalisation completes the delivery stage of the project and allows for: the correct Management of project based records and documents; the update of spatial information; the update of the Infrastructure Appraisal; and the projects costs to be amortised into the fixed asset register. Outcome: Project Contracts are finalised. Infrastructure Appraisal information is updated. Documents are collected / disseminated and essential information is updated. Project is finalised in ROMAN and DEMS.
Activity	Considerations
1) CMS Project Manager to finalise the Project Contracts. Including Final check all defects are complete; All commissioning and handover tasks are complete; Make final contract payment; Release securities held; Update DEMS Project data and Reports; and File Contract Documents.	Handover of project documentation, drawings and data is the subject of CMS Compliance Indicators 3205 and 3206.
2) Update IA. CMS Project Manager to update DEMS IA data for completed works.	Any new Structures will need to be included in the IA.
3) CMS Project Manager to notify DSG of completion of Project Finalisation and to commence completion of ROMAN project finalisation actions.
