Budget Year Minus 1 - Estate Maintenance Bid Structure - Fees Bids for Reactive Maintenance

The Reactive Maintenance category defines the funding required to perform reactive and routine maintenance activities on elements of the Defence estate in accordance with the CMC/CMS contract.

Outcome:
Reactive Maintenance projects are created in DEMS with the Estate Maintenance Bid amount in the appropriate financial year and with “Submit for Bid” checkbox in DEMS set to on.

Activity Considerations

1) Create new Reactive Maintenance projects as required and enter in the appropriate project information.

  • Add financial allocation line(s) for the Estate Maintenance Bid year.
  • Enter the Reactive Maintenance amount into the “Bid” field.
Prepare for consideration at the Regional Facilities Conference (RFC) by setting “Submit for Bid” checkbox to on.

Reactive Maintenance projects may include the following types:

  • FP&E Reactive – Immediate & Urgent;
  • GEW Reactive – Immediate & Urgent; and
  • GEW Reactive – Routine.
Only one project per contract per Region is required for each of the different types of Reactive Maintenance.


2) Determination of the Estate Maintenance Bid amount should take into account the following factors:

  • expected changes to the volume of works; and
  • comparable amounts from previous years.
Multiple financial allocation lines for the same financial year can be used to apportion fee amounts across the Region using different Cost Centres.

All projects in this category are to be single year bids.

Outstanding Commitments (OC) in Bid is not required for Reactive Maintenance projects (only Risk Managed Works projects).

Do not re-bid projects that have been previously approved.
